First Steps

Cancellation and records

This policy explains how church subscriptions end and how course records are handled afterward.

Cancel the subscription in Payhip

The church account owner should cancel the recurring subscription through their Payhip buyer account and contact sherilyn.ware@gmail.com so First Steps can record the cancellation. Ending or pausing app access does not cancel Payhip charges.

Access through the paid period

After cancellation is verified, the church keeps app access through its recorded paid-through date. Connected Payhip notices can record cancellation automatically; the operator reviews missing notices and exceptions. Church members do not pay individually.

Download before access ends

Ask members to download their personal information and save any earned certificates before the paid period ends. Members can use My information to download their own records. Leaders cannot download members’ private reflections.

Keep course records for 90 days

After the canceled church’s paid period ends, church enrollment, lesson progress, and reflection records are retained for 90 days to allow reactivation or retrieval requests. Contact Sherilyn for retrieval assistance while course access is closed.

After 90 days, the records become eligible for manual deletion review. The church administrator will be notified before course records are deleted. There is no automatic deletion, and records may remain while notification and review are completed.

Reactivation

Contact Sherilyn to discuss reactivation during the retention period. Access is restored after payment verification. Once records have been deleted, previous course progress and certificates may no longer be recoverable.

Records handled separately

Payhip receipts, billing records, and the email sign-in account are handled separately from course records. Cancellation does not automatically erase them. The church’s official membership records are also separate. Ask about these records when requesting deletion.

Spiritual-gifts answers saved in a member’s browser are not erased by church cancellation. Members can clear their own saved answers through My information.

Individual deletion requests

Members may request deletion of their own app records through My information. Those requests are reviewed separately from the church’s cancellation. Submitting a request does not immediately delete data.
